IPG Minutes  - 5/7/24
In Attendance:  Kary, Charlotte, Sandra, Shannon, Amanda, Lisa
 
Treasurer’s Report:  
MOD Pizza and Panda fundraisers were deposited.  Total fundraising for the year is $(redacted).  Amazing! The Lionel Hampton Jazz Festival was $(redacted).  We bought 32 concert tickets because we decided not to spend the night. We are working on the end of the year concert, awards, senior boards, leis and such. Uniforms fees are still short $(redacted).  That is equivalent to a new tux or something for next year. June meeting will plan a budget for next year.  We want to add a list of things the funds can be used for.  This will set expectations for all involved. We also want to discuss a fundraising plan.

Fundraising: 
$(redacted) for MOD in April In June, there is a nation wide Panda fundraiser. 6/7 At the concert  Other fundraising options is Panera, Nothing Bundt cakes, Buffalo Wild Wings, Burger King For Gonzaga games – We need to commit to a number of games.  The “lead” needs to have a food handlers permit.  The kids can help.  This usually earns $200-$600 per night.  Website for custom blankets, maybe November.  Lionel Hampton Jazz Fest, we got 1st in our division and 4th overall!!  Fantastic!

End of Year Concert – boards, leis & awards are being handled by Shannon.  Shannon will see if Starbucks will donate coffee.  We are getting a 10” bundt cake donated, this will be a silent auction.  Sweet Frostings will also be donating something to silent auction. 

An option is a Nothing Bundt Cake Pop Up.  There is a 30% return.   We decided to go with the option for the Nothing Bundt Cake Pop Up.  We will not do homemade goodies.  We will provide beverages and ask for donations.  Costco bottled water. Beau Tillman has the stage backdrop and will come to set it up.  Set up at 5:30.  Call time will be 5:30pm.  Uniforms:  All seniors, orchestra and chamber will be returning uniforms directly after the concert.  Kary will be in the lobby.  Charlotte & Shannon will be in the band room to check-in uniforms.   

Band kids will return their uniforms when they return from graduation. Charlotte and Shannon will help.
Lilac Festival Parade:  Students get the marching uniforms before and after the parade to get kids in uniform and get kids out of uniform after the parade.  Water will be left on the bus.
Sponsorship:  We have a student who is requesting funding for a summer camp.  We have decided to have the scholarships for the summer come out of this year’s budget.  Year end will be 8/31 and the New year will be considered 9/1. 

Discussion ensued about opening the camp scholarship opportunities to the entire band and orchestra.  We have one request now.  Should we have a form created to determine need and dedication to the music program.  Should we limit it to one personal scholarship grant request for camp or lessons?  Should we wait until next year?  Should it be a line item on the budget?  Should it be determined by lottery? If we say no to the one student request this year, and reassure them that next year will have a plan?  If we say yes to the current student request, is it fair to all the other students who didn’t know that the option is available?  The fee for the Montana week-long camp is $755, unless you are commuting to and from camp. 
 
New Officers will be Amanda for Vice President and Gareth to be Secretary. They were voted in unanimously.
 
June 11th is the next meeting.
